Annual General Meeting (AGM)

Dear Councillors,

Hope that you're having a wonderful time with your friends and family. Before our school reopens, let's get to know what's happening next year! That's why our general meeting comes in. Here are the details for all of you:

Attire: Games will be played, so acceptable attire is needed

There will be refreshments provided for all. IF you can't make it for this meeting, you must be responsible to contact your respective (VP/AVP) presidents by 27th Dec, Monday & FOR the Sec1s, you need to contact our Secretariat (Shu Ting), I'm sure that you all have her number. Lastly, do remember to report PUNCTUALLY and I would like to wish all of you a Merry Christmas!

Hi Councillors,

Hope that you're having a good break and enjoying your holiday! However, we still have some events in our hands. Here's the details for...

*You are advised to have a heavy breakfast/ bring some food in case you're hungry

Conduct for EVERYONE
  1. Remember to be polite at all times.
  2. No vulgarities should be used.
  3. Please do not use your handphone(unless in case of emergency etc)
  4. Guard your heart, watch your behaviour.
  5. Try not to talk among yourselves.
  6. Be alert to the needs of the parents
  7. Make sure you look neat at all times
  8. No sweet drinks should be seen. Mineral water will be provided.
  9. Do not slack, be alert and help the others if you are not needed around.

YOUR attire , YOUR responsibility

Rules to follow:

  1. Hair should be of acceptable length. Girls with long hair should make sure that their hair is pinned up properly. Please be reminded that only black or blue clips are allowed.
  2. Nails should be short and clean.
  3. Everyone must wear their white collared shirts.
  1. If you have dyed your hair during the holidays, please make sure you dye it back to black or your original hair colour.
  2. ONLY white shoes and white socks are allowed. You can wear ankle socks, but make sure that they are visible about the shoes that you are wearing. (Especially in the case of girls)
  3. Please wear your appropriate badges. If you have two, please wear your SC badge/ PE Captain badge.
  4. Make sure that you are NEAT and PRESENTABLE at all times. The parents’ and students’ first impression of the school is YOU.

Your roles and duties:

Main Gate Ushers:

  1. Greet the parents.

2. Direct them towards the foyer.

3. Wish them a nice day.

Foyer Ushers:

  1. Greet the parents.
  2. Ask them politely which stream their child is posted to, and the name of their child. After that, lead them to the nearest board that displays the class lists and find out which class their child is in. Also check their register number and remind them to remember it. There should be several boards around, so do play by ear. If too many parents crowd around a board, direct them to a less crowded board in a polite manner.
  3. Thereafter, lead them to the registration table of their child’s class to take a cue number. (Near HOD room)
  4. Hand the parents over to the registration table personnel, wish them a nice day and proceed back to your positions.

Registration Table Personnel:

  1. Greet the parents.
  2. Politely request for their child’s name and his/her register number.
  3. Write their cue number down beside their name and give them a cue number.
  4. Direct them towards the stairs near the hall to meet the teachers and wish them a nice day.

Stair Ushers:

Two roles-

  1. Direct parents up to the hall.
  2. Direct parents to the canteen if they’re done.

Hall back door Ushers:

  1. Greet the parents.
  2. Ask what class their child is in. There will be a student helper at each holding up placards with the class name. Ask them to go to the respective class to be seated and wait for their cue.
  3. Wish them a nice day.

Teacher’s table Personnel

Assist the teachers in getting parents holding cue numbers to meet the teacher. Help the teachers should they have any needs or requests.

Class I/Cs:

-Serve the parents drinks and attend to their needs, for example pens, toilet etc. (Ask floating ushers to bring them to the toilet) Interact with them. One of the two I/Cs is to hold up a placard with the class on it so that parents know where to go to.

Floating Ushers:

Mostly impromptu jobs. Help guide the parents to the hall/ toilet/ canteen, depending on their needs. Take the initiative to help parents who look lost or need help. Be alert, and help out at places where you see that there’s a need to.

Typical answers/questions/quotes to help you along

“Please allow me to show you the way.”

“Please follow me.”

“How can I help you?”

“Do you need directions?”

“Excuse me sir/ma’am, do you require any assistance?”

“I’m sorry but I don’t know the answer to your question. Please give me a moment to check with my teacher/ IC.”

“Please give me a moment while I get (a bottle of water) for you.”

“May I know which class your child is in please?”

“ May I know the name/register number of your child please?”

“ Good morning/afternoon, sir/ma’am, …..”

1 Star Kayak (Things to bring add-ons)

Final Announcements for Bintan Trip

Dear Councillors,

Final reminder and answers to questions for everyone!

For those going Bintan:
1) Report in the School Hall at 7.45am in your PE attire (Boys- PE shorts / Girls- PE shorts inside skirt) and track shoes with white socks. Recommended to wear proper socks for sec2s - all will be going for roller blading [sports exposure]
2) Check all the items on the packing list that is provided under the "Bintan Trip 2010" page.
3) Do bring one more extra shirt for changing in between activities (sweating).
4) Remember to bring your:
- Passport
- Personal Medications
- Insect Repellent
- 1.5 Litre water bottle (to be filled before going Bintan)
- Torch Light (highly recommended)
- Paper bag (carry donated items) + Ziploc bags for waterproofing purposes
- Writing Materials
5) Bring required craft materials/printed work for Service Learning (CIP).
6) For the local school visit, you may wear your track shoes but white socks are to be worn as we are visiting a school.

For those only going on the 19th Nov (SC Retreat) - 8am - 6pm:
1) Report in the School Hall at 7.55am in your PE attire (Boys- PE shorts / Girls- PE shorts inside skirt) and track shoes with white socks. Recommended to wear proper socks for sec2s & 1s - Going for roller blading [sports exposure]
2) Bring water bottle and writing materials + FORMS if you have not handed up.
3) Lunch is provided only.

***Sec Twos & Threes Band members have to attend band practice from 10am-12pm tomorrow which is during our CIP Preparation - Part 1. Please inform your group members what you have prepared for the CIP before you for band and you all will still have another part at night.

Q&A
Can we still donate items for Bintan?
Yes, tomorrow will be the last collection day.

Will they give us a bag for the trip?
Yes, day pack bags will be provided for all on the second day onwards.

What if we don't have enough school-approved tees?
All of you should be enough as required, and you can wear your home clothes after showering everyday.

Can we wear coloured socks as we do not have enough white socks?
Yes, you may but white socks is preferable.

Do we have to bring school shoes?
No, track shoes is alright and only need to bring your slippers.

CIP information for preparation of a Humanities Exhibit

Group 1 & 2: Singapore (Red Mounting Board x 4)
Group 3 & 4: Thailand (Yellow Mounting Board x 4)
Group 5 & 6: The Philippines (Blue Mounting Board x 4)
Group 7 & 8: Malaysia (Green Mounting Board x 4)

Compulsory categories:
- Country Flag
- National flower
- Pictures and description of traditional costume(s)
- Pictures and description of local food
- Pictures and writeup of major tourist attractions
- Pictures and writeup of festivals celebrated in the country

Group leaders/asst leaders of the 2 groups (e.g. group 1 & 2) responsible for 1 country are to:
1. Coordinate with each other (leader to leader) and decide which categories will each respective group be responsible for preparing.
2. Coordinate with your group members with regards to who is to bring what materials.

List of suggested materials:
- Scissors
- Glue
- Glitter glue
- Coloured Markers (esp. black marker for outlining etc.)
- Coloured Pens
- Pen knife
- Printed images or magazine cut-outs for use on mounting boards (e.g. traditional costumes)
ETC.

CIP information on preparation for poster-making (in Bintan)

1. Group leaders/asst leaders are to discuss with one another to decide on topics to make posters on:
- E.g. Numbers. 1 = one (in English) = satu (in Bahasa) and you draw ONE apple to represent one.

2. Each group is responsible for making up to three A3 size poster with the orphans, so leaders/group leaders are to decide on 4 topic (3 + 1extra)

3. Assign different group members to bring different art & craft materials for the poster making. (A3 paper - the base of the poster, will be provided)

Good News!

The kayak 1 star ($50) is now fully subsidised so you do not need to fork out any cash at all.

Please collect a copy of the consent and application/indemnity form from the door of the SC room. Get them signed and placed into my pigeon hole (60) by next Thursday (18/11). Any latecomers will not be entertained.

Updates on Forest Adventure - Leadership Outdoor Course

Hi Councillors,

Just to remind all of you again from the previous announcement,

Date: 9th November 2010, Tuesday
Reporting Time: 12.30pm
Meeting Point: School Foyer
Venue: Bedok Reservoir Forest Adventure Centre
Dismissal Time: 6.30pm
Attire: Any school-approved tee, Long track pants & sport/track shoes

Advice all of you to bring as little as possible, and do remember to bring a bottle of water along. ALL of you need to hand up both the Reply Slip (detached) and the Risk Acknowledgement and Disclaimer BEFORE 8th of November, Monday 12pm. Drop into the box outside the SCroom. If you really can't hand up on time because of difficulties, you MUST remember to sign and bring it on that day.

BBQ - Outdoor Activity

Hi Councillors,

Some of our Sec2s organised a BBQ for all, everyone is invited to join them for BBQ and don't miss this chance to bond together as one big family! It's optional. "It's worth spending time knowing more about each other!"
Here are the details:

Area D - Pit 33 & 34
Time: After 3pm (fire will start then) till 10pm latest
Can come/leave in between
Cost: S$5.00

We all may play some games and do some sports together while we are over there!

Kayak 1 star certification UPDATES (only 30 slots)

Hi all,

The timing of the kayak 1 star certification is changed to 1 pm to 6 pm (5 hrs) for both days, 29th and 30th of November. Interested councillors, do sign up by this wednesday.

PECs who have signed up with Irwin previously, your names have been written on the SC board. Please confirm your attendance by signing against your name.

The consent and relevant forms will be placed outside the SC room on Thursday. Please sign and return them to my pigeon hole, 60 by next friday, 12 Nov.

Bintan Pre-trip Briefing for Parents & SCs

Dear Councillors,

Our agency will be giving a pre-trip briefing for all of you and your parents on the 2nd November, Tuesday in the school Wesley Hall. IMPORTANT**ALL councillors are to attend the briefing eventhough your parents will not be attending and do bring your PASSPORT. (the school will collect it form you and safe keep them)

All of you, councillors, are to be present in the Wesley Hall at 6.00pm in your FULL school uniform.
Please also inform your parents that they are to join us at 7.00pm and the briefing will most likely to end at 8.15pm.

Forest Adventure

Hi Sec 2 Councillors,

Remember that the Forest Adventure will be on the 9th of November, Tuesday from 12.30pm to 6.30pm. The meeting/dismissal venue will be in school. It is very important to read the Safety Rules and Advise before hand.

It's advisable to:

Dress adequately
Sport shoes are a
MUST. Participants wearing sandals or lose fitted shoes will not be able to go on the course. We also recommend that you wear bermudas or trousers or track pants and generally clothes that you do not mind getting a bit dirty. You will be wearing a helmet; we suggest you bring a bandana as you may find it more comfortable.

Bring as little as your need
For safety reason, you will be asked to empty your pockets prior to going on the course. Please note that mobile phone are strictly not allowed. Coin lockers are available. You may bring your belongings along, as there will be coin lockers.

Kayak 1 star certification

Great news!

We are opening a 1 star kayak course for all student councillors. The details are as below:

When: Mon 29th and Tues 30th Nov (8 am - 5 pm)
Where: Marina Reservoir (Kallang)
Course fees: $50 (pay only $10, subsidise $40)

This is a great opportunity for all who would like to be certified in the 1 star. You do not need to know how to swim but you must not fear water.

A sign up form will be placed on the noticeboard of the SC room. Kindly indicate your interest (pls do get clearance from your CCA if the above dates clashes with your trainings) by next Tues. Collection of the forms will be notified at a later date.

Bintan Trip - Vaccination Program

To All Student Councillors going to Bintan,

Our school is going a step further to take the necessary precaution for your well-being and safety when we are abroad. The school has collaborated with Singapore General Hospital (SGH) staff to vaccinate us at their premise. It will be on the 25th October, Monday at SGH from 1.00pm - 5.00pm. It will be subsidied for you.

Please get the approval from your Parent/Guardian and bring your form back to school on Monday. If you do not have the form, you may save the one above and print it yourself OR get the consent form from Miss Wong's pigeonhole.

*There is a typing error on the form - reply slip, it should be SGH instead of Tan Tock Seng Hospital.

Councillors NEED to hand in forms & go to SGH even though you have your Typhoid vaccination last year when you went for school's overseas excursion (eg. Davao Trip...). Please do bring your Certificate of Vaccination or any other proofs on Monday if you have it.

Locals & Foreigners:
Sec Twos are to bring your Ez-Link/Concession Card;
Sec Threes are to bring your NRIC/Identity Card on Monday.

Attendance Taking for Morning Assembly

  • Report to two of the EXCO members at CMS Foyer near the piano at 7.10am(Mon,Tue,Wed,Fri) / 8.10am(Thurs) to have your attendance taken for ALL who are doing duty.

  • Should you be late (after 7.15am/8.15am > ALL should be ready at your own venue doing duty), please go to the general office (after assembly) and take the ORANGE attendance book (placed above the class record book shelve - the book will be there just before dismissal) to mark yourself as LATE - L and place it back.
  • Those who failed to do so will be counted as NEVER REPORT-0. SCs who are absent(on MC), do inform the EXCO members who are marking attendance the next day.
  • This will take effect from 13/09/T4Wk1.
