Duty list for Teachers' Day Celebration (1st September)

Time: 6.50am - 8am.

  1. Technical Rehearsal (Friendship Hall)
- SC (s) involved: Backstage Crew/Programme Committee.

    2.   Attendance of performance to be taken so that FTs will be informed later.
- SC(s) involved: Sabita.

Time: 6.50am-8.20am.

  1. Open room for J1-1's rehearsal (25 students) - MPR
  • Maintain discipline.
  • Take attendance and pass to form teacher by 8.20am. (J1-1 don't have to attend assembly)
  • Usher J1-1 students to the area outside dance room. (by 8.30am/upon instructions)
  • After performance, get students back to their seats.
- SC(s) involved: Lim Ying & Simon.

Time: 7am-10.30am.
  1. Manage holding room for performers (Dance Room)
  • Control noise level.
  • Inform them who is to go up next.
  • Remind them to move in and out of the room quietly.
  • Only allow them to go to the hall to watch the other performances UPON APPORVAL OF MDM CHUA.

Time 8.30am-8.40am.
  1. Teachers are to be "shoo-ed" out of the hall & after they have collected their items from the staffroom. they are to be lined-up outside the hall and wait to be invited in. (Outside Hall Area)
  • POLITELY direct the teachers to line up.
  • While teachers are lining up, candies to be distributed to them.

  1. While teachers are not in the hall, latecomers are to be quickly ushered to their respective classes.

Time: 8.50am-end of concert.
  1. Manage/entertain Parent Support Group (MPR)
  • Make sure room is in order (after J1-1 has just used it) for the PSG who will arrive at 9am.
  • Greet them and offer any kind of assistance they may require.
  • Make sure the room has mineral water for their consumption.

Time: Entire event (Friendship Hall - backstage)
  1. Backstage crew: Assist Mdm Chua in
  • Managing flow of events, i.e alerting and readying preformers.
  • Standby to move props and instruments
  • Operate curtains (1 SC/ 1 MR)
  • Take note of who uses which microphone. (Microphones are to be numbered)
    2.   I/Cs in-charged of the various games should be on standby (also in Dance Room)
          and will be called upon when the segment is about to begin.
   
- Teacher involved: Mdm Chua.
- SC(s) involved: Xin Fang, Jenna, Hui Lin, Geraldine, Chao Xian, Daryl & Wayne.
- Chemistry Game: Shermaine, Aqilah & Raudhatul.
  
    3. Arrange for the cake up to be delivered and rolled into the Friendship Hall.

Time: Beginning till End:Manage visitors (i.e EX-students) - Friendship Hall.
  • Provide them with information (e.g show them where they can sit & watch the performances)
  • Guard the doors (don't open/close too often)
  • Visitors are only allowed at the back of the hall.
  • Shoo people back to the hall and not allow them in be hiding in toilets etc.

- to be done by 2.25 (latest by 2.30)
- get keys.

o Area patrollers (2.30 pm – 5 pm)
- report for duty at 2.25pm sharp (first time slot, subsequent slots have to arrive 5 minutes before duty)
- ensure that students do not cross bridge; ask them to staircase 6A & 6B instead.
- keep the noise level of the students to the minimum
- no handphones to be seen, only I/C can use to call in times of emergency

Guidelines when performing duties:

AREA PATROLLERS - overseen by Wayne

·         Switch off ALL lights (CMS Foyer, Canteen, etc.) at 7.15 sharp
·         Get students to move to assembly are QUICKLY
·         Hui Lin, Wei Xuan & Shi Ying to help other area patrollers to chase students from classroom block – this duty ends @ 7.10 sharp
·         Darren, David & Shi Ying to remain at classroom block after 7.10 -> come down by 7.25 (earlier if there really are no students in the classes)



SIDE GATE
·         Close gate at 7.25, but don’t leave students standing outside
·         Continue with other duties after side gate duty



CLASS & LEVEL I/C – overseen by Rui Lin & Wen Xuan

·         Settle students, especially your own class pupils, down. Don’t just stand there like a statue, looking at the students as they crowd together at the back or sides of the assembly area
·         Release your class after assembly – don’t just grab your bags & go. Your bags won’t run away, there’s no need for you to rush to get your bags.

- When releasing, be more flexible. Don’t make the class go a particular way just because the dismissal plan says so. Lead the class to where very few classes are walking by, in other words, where the crowd is the thinnest. Don’t squeeze along with everyone else

·         Visit your class from time to time – build bonds with the pupils
·         Help teachers in (e.g. offer to help pass/take attendance book)
·         Volunteer to teach/mentor pupils of your own class
·         Sit with your classes during assembly if there’s space. At least near where your class is seated



LATECOMERS’ DUTY, ASSEMBLY AREA – overseen by Zhang Qing & Joel

·         Settle the mass of students down, don’t let them stroll back to respective classes after National Anthem & Pledge
·         Check attire of latecomers
·         Ensure that they don’t run away
·         Brainstorm for ideas to reduce the number of latecomers – inform any EXCO if you have an idea
·         When there are 2 assembly areas, divide yourselves accordingly. Don’t crowd at one assembly area while the other lacks councillors
·         Be versatile -> look for spaces for them to sit if there isn’t any space at the back. Don’t make them squeeze together if there are other empty spaces around.



PLACARDS

·         Space the placards out properly. Depending on the available space, spread the placards accordingly.
·         Collect the placards. Any councillor can do this. Don’t leave the placards lying at there while you stroll off to class





WARNINGS

1.      When late, text Raudha @ 81108651 or Felicia @97306236, with your reason why
2.       Do your duties! If you don’t, you’d be dealt with
3.      Start, end duty on time -> avoid starting duty late, unless you have valid reason (e.g. stomachache)
4.      While doing recess duty, perform it properly. NO SLIPSHOD PERFORMANCE.
5.      Stay 3-5 mins after the recess bell rings to ensure that everyone’s gone back to class ************ [ only if approved]

Role of the in-charge:  
1- Every morning, the I/Cs are to take booking slips from Raudha or Felicia & pass it out to those on duty. Ensure that the councilors who are supposed to do duty are on duty (take attendance). Book students who don't return plates or take drinks out of the canteen (either their name or remember their face). If councillor does not perform duty well, do note it down too. Don't be soft-hearted, don’t be biased.

2- The I/Cs are to pass the booking slips (the ones that are filled) to Raudha at the end of the day. Latest by the next day.





Warning to councillors:
Attendance & performance of duty will be reported to us. Even if you do do your duty but your behaviour is inappropriate, we will be informed about it. If there is anything that we find unsatisfying, the Discipline EXCOs will personally find you & have a talk about it

WHAT HAS TO BE DONE ON THE DAY:
# Setting up of placards in HALL & QUADRANGLE (Lindon & Emily, to be done before 7.10)
  • Use masking tape/blu-tac from the council room to stick the placards in the Hall onto the floor & prevent them from flying about
  • Ask any EXCO to pass it to you – don’t rummage through any of the cupboards without permission
# Setting up of chairs in hall (Darren & Logistics, to be done before 7.10)
# Setting of cones for centre aisle: Follow the two lines, just like GB Day, but include another walkway for the Guest-of-Honour. Get the cones from PE Store, I've asked Ms Cheng about it. To be done before 7.10
  • Darren or either one of the Logistics to get the cones (look for Ms Cheng for the key), find Raudha when you’ve gotten them
# Guard-of-Honour + supporting contingent will be sitting in the centre aisle; everyone has to squeeze - inform students to put bags on lap & cover up any gaps in between. Let them sit anywhere if there really is no space in their respective classes.
# COUNCILLORS TO BE THE LAST TO SIT, sit outside if there really is no space. Those whom are seen sitting down before everyone else is settled down will face the consequences.
# Changes may be made on the day itself, so be alert & respond quickly to whatever information that has been disseminated
THE REST OF THE COUNCILLORS WHO ARE NOT INVOLVED IN THE PARADE AND DO NOT HAVE ANY SPECIFIC DUTY, PLEASE DO HELP OUT AS MANPOWER IS DEFINITELY NEEDED.

# Only sec 3 councillors have duties, so perform your duties well!
# 5 - 6 councillors per staircase – rotate around! Don’t let one councillor suffer while the rest have the time of their life! Have breaks in between, but at all times, there must at least be 2 councillors per staircase
# Look for Raudha/Felicia if unsure or if there are any problems
# NO HANDPHONES TO BE SEEN DURING DUTY: only those with * beside their name (including Shu Min & Rachelyn) are allowed to use phones to contact any EXCO member during EMERGENCIES ONLY
# Behave yourselves when performing duty – any discouraging remarks from teachers may land you in hot soup
# Don’t pick a fight with any defiant students – record their names, they’d be dealt with separately
